The Beatles Marathon UK: Terms and Conditions of Entry

About these terms and the organiser

The Beatles Marathon UK (“we”, “us”, “our”) is an unincorporated association run by volunteers and is the organiser of the event. The event is a fundraising event held in aid of My Name’5 Doddie Foundation (a charity registered in Scotland, Scottish Charity No. SC047871). References in these terms to “the event organisers” mean The Beatles Marathon UK. Net proceeds, after deduction of the reasonable costs of staging the event (such as venue hire, equipment and licensing), will be donated to that charity.   1. Agreement to Terms. By purchasing a ticket for, or entering, The Beatles Marathon UK, you agree to be bound by these terms and conditions. If you do not agree with any part of these terms, please do not purchase a ticket or enter the venue.
  2. Event Details. The event takes place on Saturday 14th November 2026 at Portobello Town Hall, 147-149 Portobello High Street, Edinburgh, EH15 1AF, Scotland.
  3. Ticket Types and Validity. Your ticket is valid only for the specific type purchased:
    • All Day Ticket: admits one person from 11:45 and is valid for the full event.
    • Early Entry Ticket: admits one person at any time before 14:00 (2pm) and is valid for the remainder of the event.
    • Late Entry Ticket: admits one person from 20:00 (8pm) onwards; entry before that time is not permitted on this ticket.
  4. Age Restrictions and Identification. We operate a strict age verification policy. Proof of age may be required for any ticket type. Acceptable forms of identification include a valid passport, photographic driving licence, or a PASS-accredited proof of age card. We operate a Challenge 25 policy for the purchase of any age-restricted items or services.

    Attendees aged 17 and under must be accompanied and supervised at all times by a responsible adult aged 18 or over (with a maximum of four under-18s per accompanying adult). Children and young persons may remain in the venue only during the times permitted by the venue’s occasional licence, after which they must leave. No alcohol will be sold or supplied to any person under the age of 18, and proof of age may be required under our Challenge 25 policy; where acceptable identification is not produced, the sale will be refused.

  5. Re-entry and Venue Capacity. Attendees are permitted to leave and re-enter the venue throughout the event. However, admission is subject to venue capacity. In the event that the venue reaches maximum capacity, we reserve the right to operate a ‘one-in, one-out’ policy. Re-entry during these periods is not guaranteed, and ticket holders may be required to queue or may be denied entry until capacity allows.
  6. Food and Drink Policy. Attendees may bring their own food and non-alcoholic drinks into the venue. The consumption of alcoholic drinks brought from outside the venue is strictly prohibited. Any alcohol found in the possession of attendees upon entry or during the event will be confiscated and disposed of. Alcohol will be available for purchase on-site at a bar operated by us under an occasional licence granted under the Licensing (Scotland) Act 2005. The bar will be staffed by trained personnel under the supervision of our personal licence holder, and all alcohol sales are subject to that licence and its conditions (including our Challenge 25 age-verification policy).
  7. Right of Admission. We reserve the right to refuse entry or remove any person from the venue for any reason, including but not limited to: disorderly behaviour, intoxication, failure to produce valid identification, or non-compliance with staff instructions. Refunds will not be issued to individuals removed from the venue due to a breach of these terms.
  8. Liability. Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be limited or excluded by law. Subject to that, attendees are responsible for their own belongings at all times and bring personal property into the venue at their own risk, and we are not liable for any injury, loss or damage sustained at the event except to the extent caused by the negligence of the event organisers. Nothing in these terms affects your statutory rights as a consumer.
  9. Cancellations and Refunds. Tickets are non-refundable except in the following circumstances:
    (a) the event is cancelled in its entirety by the organisers;
    (b) the event is postponed to a different date and you are unable to attend the new date;
    (c) there is a material change to the event (for example, a change of date or venue); or
    (d) where we decide, at our sole discretion, to offer a refund, including in cases of genuine extenuating circumstances (for the avoidance of doubt, this limb (d) is entirely discretionary and does not create any entitlement to a refund). Changes to the programme, running order, timings or line-up are not material changes and do not entitle you to a refund. Because your ticket is for a leisure event taking place on a specific date, you do not have a statutory 14-day right to cancel and change your mind. Where a refund is due, it will be made to the original method of payment within 14 days of our confirming the refund. We will publish information about any cancellation, postponement or refund process on our website at BeatlesMarathon.com. Nothing in these terms affects your statutory rights as a consumer.
  10. Conditions of Entry and Searches. Admission to the venue is a condition of your acceptance of these terms. As a condition of entry, we and our stewards may carry out searches of persons and bags where reasonably necessary for the safety and security of attendees or to enforce these terms (including our alcohol policy). Any searches shall be conducted in a respectful and proportionate manner by trained personnel. You may be refused entry if you decline to be searched. We may refuse entry to, or eject, any person carrying prohibited items.
  11. Photography and Filming. Attendees may take photographs and recordings for their own personal, private use only. You must not photograph, film or record any child other than a child of whom you are the parent or guardian, or for whom you have the express consent of that child’s parent or guardian. We have an official photographer and video team at the event who will take photographs and video recordings. By attending, you acknowledge that you (and any child you are responsible for) may be captured in these recordings, and you consent to our use of them for promotional, fundraising and reporting purposes in connection with the event and the charity. If you do not wish you or your child to be photographed or filmed by our official photographer or video team, please notify us in advance or speak to a member of staff on arrival, and we will take reasonable steps to accommodate your request.   12. Tickets: Transfer and Resale. Tickets are issued for personal, non-commercial use only. Tickets must not be resold or offered for resale at more than the price paid, or used for any commercial or promotional purpose, without our prior written consent. Any ticket that is resold or transferred in breach of this clause may be cancelled without refund, and the holder may be refused entry. For the avoidance of doubt, private transfers between friends or family members at face value or below shall not constitute a breach of this clause.
  13. Programme Changes. The advertised line-up, running order and timings are subject to change. We reserve the right to alter or vary the programme, the performers and the event timings without notice and without liability, provided that any change which materially alters the nature of the event is dealt with under the Cancellations and Refunds clause above.
  14. Data Protection. We will process any personal data you provide when purchasing a ticket or attending the event in accordance with our Privacy Policy, available at BeatlesMarathon.com/privacy, and with applicable data protection law including the UK GDPR and the Data Protection Act 2018.
  15. Governing Law. These terms and conditions are governed by and construed in accordance with the laws of Scotland. Any disputes arising in connection with these terms shall be subject to the exclusive jurisdiction of the Scottish courts.
